Overview Schedule: Monday-Friday: 8:00am – 5:00pm Hourly wage range: Min: $21.73 Max: $31.93 Position Summary Provides administrative and operational support to the Medical Staff Services Department with a focus on file preparation, expirables tracking, privileging support, payor enrollment activities, committee coordination, and departmental projects. This role supports task-based functions and workflow organization under the direction of the Medical Staff Services Manager. Responsibilities Essential Job Functions: Assist with preparation of credentialing and recredentialing files, ensuring required documentation—specifically privileging-related documents—is collected, organized, and complete Maintain provider files in a complete, accurate, and audit-ready format Enter and maintain data in internal tracking systems Support file audits to ensure documentation completeness and readiness for review Track and monitor provider expirables (licenses, certifications, professional liability insurance, etc.) Proactively follow up with providers to obtain updated documentation Maintain accurate records and ensure timely updates to prevent compliance gaps Distribute and track privileging applications Review submitted documentation for completeness using established checklists and guidelines Validate that required supporting materials (e.g., case logs, documentation) are present Identify missing or inconsistent information and escalate as appropriate Provide cross-functional support to payor enrollment and assist with applications and tracking, as needed Help prep and organize materials for medical staff committees and assist with post-meeting follow up and action items Maintain supporting documentation for committee review and follow-up activities Assist Credentialing Coordinator with scheduling and coordination of provider orientation, as needed Provide support to Credentialing Coordinator during provider orientation sessions, as needed Assist with onboarding activities for medical students, including document collection, tracking, coordination, and communication with applicable departments Communicate with providers regarding documentation requirements and status updates Maintain strict confidentiality of provider and organizational information Perform general administrative support tasks for Medical Staff Services Support departmental projects as assigned by the Medical Staff Services Manager Provide administrative support for Medical Staff Services systems and software platforms, including data validation, record maintenance, testing, and implementation-related activities Perform other duties as assigned by Medical Staff Services Manager Qualifications Education Required: High school diploma or equivalent. Preferred: Bachelor’s degree in healthcare administration, business administration, or equivalent. Licenses/ certifications/ registrations Required: None. Preferred: Certification through NAMSS (e.g., CPCS, CPMSM) or willingness to obtain. Experience Required: 1- 2 years of experience in a healthcare administrative environment Previous experience with databases and standard office software Preferred: Previous experience working with physicians or healthcare providers Previous credentialing or medical staff services experience Familiarity with DNV and/or CMS requirements Other: NA Physical Requirements: The physical and sensory functions described below are essential to the successful performance of this position. Tactile perception is also important for assessing physical characteristics such as temperature, size, shape, or texture during patient care. Motor coordination is required for reaching, grasping, handling, and performing fine motor tasks necessary for the use of medical equipment and procedures. The position also involves occasional stooping, kneeling, crouching, or crawling when assisting patients or accessing equipment. Walking and standing are typically continuous throughout the shift. The role requires the ability to lift to 50 pounds independently and involves frequent pushing, pulling, carrying, or repositioning of objects or patients weighing up to 25 pounds. There may also be occasional lifting or transferring of individuals weighing over 100 pounds, with the expectation that appropriate lifting techniques, mechanical aids, or team assistance will be used to ensure safety. May to sit for long periods of time. Working Conditions: This position is performed primarily in an indoor healthcare environment, such as a hospital, clinic, or long-term care facility. While the work setting is protected from outdoor weather conditions, it may be subject to variable indoor temperatures. The role involves frequent exposure to infectious and contagious diseases, hazardous materials, and medical equipment, with the expectation that all staff follow appropriate safety protocols and utilize personal protective equipment (PPE) as required. The health care environment can be fast-paced and unpredictable, requiring the ability to respond quickly to changing circumstances, including high-pressure or emergency situations. The work setting also involves multiple simultaneous demands and varying levels of noise due to medical equipment, staff activity, and patient needs. 40 Hours USD $21.30/Yr.
