Job Description

The purpose of this position is to provide workforce scheduling and administrative support for Clinic Services. The Nursing Scheduling Assistant partners with Clinic Nursing Leadership to coordinate staffing schedules, maintain workforce data, support payroll and scheduling processes, and assist with recruitment and onboarding activities. This position plays a key role in ensuring efficient staffing operations by coordinating monthly schedules, managing daily staffing adjustments, monitoring workforce information, and supporting operational initiatives. The incumbent must demonstrate strong organizational skills, attention to detail, excellent communication, and the ability to manage multiple priorities while maintaining confidentiality. Responsibilities include but are not limited to: Coordinate and maintain workforce schedules for Clinic Services, including daily staffing adjustments, coverage planning, and communication of staffing and provider schedule changes. Administer workforce and payroll functions, including timecard corrections, labor allocation reviews, overtime monitoring, compliance tracking, and workforce reporting. Coordinate recruitment and onboarding activities, including interview scheduling, orientation planning, access requests, onboarding documentation, and new hire follow-up. Support leaders and employees through performance review coordination, employee recognition activities, staffing analysis, productivity reporting, and operational initiatives. Monitor and maintain education, competency, onboarding, and compliance records, ensuring timely completion of required training and organizational requirements. Provide administrative support by maintaining confidential workforce records, preparing reports and correspondence, participating in quality improvement efforts, and assisting with departmental projects and operations. Hours/Shifts 64 Hours Bi-weekly, Day Shifts, Monday to Friday Compensation Hourly Wage Range: $19.86 - $29.11/hour. Please note that final compensation will be determined based on experience, qualifications and internal equity considerations. Education/Special Skills: High school diploma or equivalent required; post-secondary education or relevant coursework preferred. Previous healthcare, medical office, scheduling, or administrative experience preferred. Experience with scheduling software, electronic health records, Paycom (or similar payroll/timekeeping software), and Microsoft Office applications preferred. Excellent verbal and written communication skills, with strong grammar, spelling, and attention to detail in the English language. Strong organizational skills with the ability to manage multiple priorities and meet deadlines. Ability to maintain confidentiality while working with sensitive employee and organizational information. Ability to work with and for a variety of persons Successful completion of the pre-employment health screening process required. Reliable attendance and ability to work at the clinic site as scheduled. Hybrid work may be considered following successful completion of orientation and demonstration of independent competency, based on operational needs.
