Position Summary The Administrative Supervisor - ENT coordinates and oversees the daily operations, work flow of the department, and staffing and scheduling requirements of the practice support staff and providers. Participates as part of the management team managing resources (equipment, labor, and supplies). Provides a high level of expertise to mentor staff and problem-solving issues. Acts as a liaison between staff, providers, and management; promotes teamwork at all times. Uses independent and professional judgment in the performance of a wide-range of duties. Assists Manager and provides excellent customer service essential to the department.
Essential Duties & Responsibilities Under general supervision: ● Oversees daily operations of the ENT specialty offices under the direction of Practice Manager. ● Establishes and facilitates the work schedules for the providers and support staff of the practice, including determining work assignment locations of each support staff member. ● Plans daily work flow/staff of department to balance peak and slack periods and provides coverage for all clerical and clinical areas when needed. ● Addresses concerns of staff and/or providers, assists with resolution as needed. ● Participates in screening, interview, and recommendation for hiring of all support staff and provider positions. ● Oversees the training and orientations of new clerical and clinical support staff. Assists in the development of strategic alternatives in the training program ensuring employees grasp a complete understanding and good knowledge of their job responsibilities. ● Supervises clerical and clinical staff members and ensures staff are complying with MH and departmental policies. Develops and implements department specific policies and procedures as applicable. ● For clerical staff, monitors for incomplete or inaccurate information of patient registration and appointment scheduling, copay collection, and dashboard items, which negatively impacts production as evidenced by reports. ● Completes designated Dimensions timekeeping system for providers and staff accurately and monitors overtime usage. ● Provides direct coaching and counseling to support staff member as indicated. Assists Practice Manager in write up and presentation of disciplinary action to support staff member as indicated and per MH policy. ● Assists Practice Manager in the preparation of clerical and clinical employee evaluations, to include but not limited to, a draft review and supporting provider input. ● Oversees the ordering of office and clinical supplies and equipment repairs and replacement to ensure that all areas are appropriately stocked and maintained according to department standards. Monitors usage to maintain within department budget. ● Performs record-keeping and maintaining logs for the practice in regards to scopes, audio testing and audiology services logs, student externship rotation logs. ● In the absence of the Manager, assumes a positive leadership role to achieve a high level of efficiency for the entire practice, as observed by providers and upper practice management.
