JOB SUMMARY Working under the supervision of the Executive Assistant. The Receptionist is the face of the company as the first point of contact for anyone calling or visiting the communities. This person is responsible for welcoming visitors by greeting them, in person or on the telephone; answering or referring inquiries. You are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties. ESSENTIAL FUNCTIONS Greet guests in person or by telephone Handle company questions or information inquiries about the facility Answer, forward, and screen phone calls Distribute overall plan of care schedule Distributes appointment reminders for both residents and families as appropriate Accept deliveries such as packages, certified and registered mail Send out interoffice communications Keep front desk tidy and presentable with all necessary materials Sort and distribute company and resident mail Assist with copying, faxing and taking notes Resident Trust Fund - assist with processes including distribution of funds, balancing, and reporting. Assist colleagues with administrative tasks Scheduling appointments Trust Fund balances JOB QUALIFICATIONS # Education, Training, Experience: Education: None. Licensure: None. Experience: Previous clerical or secretarial experience preferred Certifications required: See Cardiopulmonary Resuscitation Certification Policy and Certifications/Education Requirements Policy. # Knowledge, Skills, and Abilities: The ability to maintain continuing education requirements and all certifications and licenses as required (e.g. ACLS, PALS, CPI, CPR). Administrative and clerical procedures Google and Microsoft operating system platforms Demonstrate friendliness and enthusiasm Build relationships with all types of people High energy and upbeat Ability to foster teamwork Client oriented Ability to organize and prioritize Detail oriented and follow through Solve problems effectively Creative in coming up with options and solutions Ability to communicate clearly and effectively Moves intermittently during working hours Is subject to frequent interruptions Is involved with residents, personnel, visitors, government agencies/personnel, etc., under all conditions and circumstances Is subject to hostile and emotionally upset residents, family members, etc. Works beyond normal duty hours, on weekends, and in other positions temporarily, when necessary Is subject to call back during emergency conditions (e.g., severe weather, evacuation, post-disaster, etc.) Is subject to injury from falls, burns from equipment, odors, etc., throughout the workday, as well as reactions from dust, disinfectants, tobacco smoke, and other air contaminants Is subject to exposure to infectious waste, diseases, conditions, etc., including TB and the AIDS and Hepatitis B viruses May be subject to the handling of and exposure to hazardous chemicals Uses computer and cellular telephone frequently
