Job Description

The Receptionist serves as the first point of contact for patients and visitors, providing professional and courteous support to ensure smooth front office operations. This role is responsible for efficient scheduling of patient appointments, verifying insurance information, collecting copays, and facilitating patient check-in and check-out processes. The Receptionist prepares and maintains patient charts, manages follow-up scheduling, and assists in clinic workflow to support timely and effective patient care. In addition to in-person interactions, the position requires professional communication across multiple channels, including multi-line telephone systems, electronic health record (EHR) messaging, secure text messaging, company email, and instant messaging, ensuring accurate and timely communication with patients and staff. **Qualifications:** • High School Diploma or Equivalent required. • At least one (1) year previous customer service experience preferred. • Previous healthcare or medical front office experience preferred. • Knowledge of healthcare medical terminology, ICD-10, CPT, and HCPCS codes preferred. **Primary Duties and Responsibilities:** * Greets patients upon arrival, makes eye contact, and checks patients in and out efficiently, ensuring all applicable forms are completed. * Answers incoming phone calls using proper telephone etiquette, takes accurate messages, and routes them to providers, clinical staff, or patients promptly. * Schedules initial and follow-up therapy appointments, ensuring adequate time based on therapy discipline and patient needs. * Verifies and updates patient demographics, insurance information, and registration details at the time of scheduling and check-in. * Manages referral work cues, electronic communications, and patient messages through EHR, secure text app, company email, and instant messaging in a timely manner. * Documents all patient communications, schedule changes, and relevant information accurately in the electronic health record (EHR). * Communicates effectively with patients, therapists, insurance coordinators, billing staff, and the patient access team. * Uses office equipment including computers, EHR systems, copier, fax, 10-key machine, and credit/debit card machines accurately and efficiently. * Maintain confidentiality of patient information and comply with HIPAA, infection control, and safety protocols. * Keeps the waiting room, front office, and work areas neat, organized, and welcoming throughout the day. * Supports clinic workflow by assisting staff with administrative tasks and helping to resolve scheduling or operational issues as they arise. * Follow department policies and procedures and participate in quality improvement initiatives, projects, or committees to enhance patient care and operational efficiency. **Skills and Abilities:** * Knowledge of healthcare medical terminology, ICD-10, CPT, and HCPCS codes. * Ability to manage multi-line phone systems, electronic communications, and patient messaging with professionalism and accuracy. * Ability to communicate effectively and professionally with patients, clinical staff, and interdisciplinary teams, both verbally and in writing. * Ability to organize work, prioritize tasks, and maintain a neat, welcoming front office and waiting area to support efficient clinic operations. * Skilled in using office equipment and technology, including computers, EHR systems, copiers, fax machines, 10-key calculators, and credit/debit card processing. * Skilled in scheduling appointments, coordinating follow-ups, and managing referrals in accordance with departmental procedures. * Skilled in documenting patient information and communications accurately in the EHR while maintaining strict confidentiality. **Physical Demands and Work Environment:** * Ability to occasionally lift and carry items weighing up to 20 pounds, such as files or office supplies. * Ability to read, analyze, and interpret written materials. * Ability to communicate effectively through reading, writing, and speaking in person or on telephone. * Must be able to work at a computer for extended periods, including frequent viewing of a computer screen and prolonged sitting. * Capable of performing effectively under pressure, managing stress constructively to meet organizational goals. * Must be able to perform the primary duties and responsibilities of the job with or without reasonable accommodation. **Expectations for All Employees** Support the organization's mission, vision and values by adhering to the behavioral standards of Grande Ronde Hospital.
