Job Description

The Clinic Supervisor oversees daily clinic operations and administrative processes, with primary supervision of front desk personnel to ensure efficient, patient-centered service. This role provides frontline leadership, supports staffing and workflow needs, and serves as an on-site resource for real-time operational issues. The Clinic Supervisor is responsible for supporting patient, employee, and provider safety and satisfaction while ensuring compliance with policies and procedures. The position may also lead or support special projects that contribute to clinic efficiency, service quality, and departmental growth. **Qualifications** : * ** ** Associate's degree, preferred. * BLS (Basic Life Support) certification preferred. * Minimum of 2 years of experience in a healthcare clinic or ambulatory care setting. * Prior lead, charge, or supervisory experience preferred. **Primary Duties and Responsibilities:** * Supervise daily clinic operations and administrative processes to ensure smooth patient flow, timely services, and adherence to policies and procedures. * Provide direct oversight of front desk functions, including registration, scheduling, check-in/check-out, and customer service processes. * Ensure high customer service standards, including prompt phone response, issue resolution, and effective handling of patient and staff concerns. * Manage front office staffing, scheduling, time and attendance, FTE monitoring, and time-off requests to align with daily workload demands. * Ensure accurate entry of patient information in the EHR in compliance with Epic registration standards. * Makes real-time operational decisions within established policies and procedures. Escalates budgetary, disciplinary, or high-risk issues to the Assistant Manager or Clinic Manager. * Track basic operational metrics (e.g., staffing levels, front desk efficiency, patient flow issues, service delays). * Participate in or lead department projects that support clinic growth, efficiency, and improved patient experience. * Identify opportunities for process improvement and bring recommendations to leadership. * Manage front office financial processes, including cash handling, receipt tracking, and coordination with the billing department. * Maintain strict confidentiality of all patients, clinic, and hospital information, upholding legal and ethical standards including patient privacy and civil rights. ** ** **Skills and Abilities:** * ** ** Strong organizational skills and the demonstrated ability to effectively lead multiple projects and teams * Excellent interpersonal & communication skills to build rapport with clinical and administrative staff, providers, and patients; communicates clearly in fast-paced and sensitive healthcare environments. * Able to establish priorities and coordinate work activities of self and staff. * Able to identify problems and recommend solutions. * Must possess the ability to work with and respect highly confidential information. Understands and upholds HIPAA regulations and internal policies to protect sensitive patient and clinic information. * Skilled in EHR systems, Microsoft Office, and clinic scheduling tools. **Physical Demands and Work Environment:** * Ability to lift or carry objects weighing up to 25 pounds. * Requires periods of sitting, standing. * Requires frequent use of computer and telephone * Needs ability to communicate effectively through reading, writing, and speaking in person or on telephone * Occasional exposure to blood, body fluids or tissue, communicable diseases, chemicals, including but not limited to sticks or cuts by needles and other sharp items.
