Position Opening: Intake Coordinator/Utilization Review

Salary Range: $20.80- $33.84 per hour based upon union contract

Position Summary: The Intake Coordinator serves as the primary point of contact for individuals and
referral sources seeking services at HarborCrest Behavioral Health (HCBH) and is responsible for
coordinating the intake and admissions process, including responding to referral inquiries, gathering and
reviewing patient information, verifying insurance coverage, and assisting with admission scheduling. This
position operates in a fast-paced clinical environment and requires the ability to manage high-volume
communications, rapidly assess referral information, and prioritize admissions based on patient acuity,
staffing levels, and unit capacity. The Intake Coordinator also supports utilization management activities
including insurance authorizations, concurrent reviews, and appeals to help ensure timely access to care
and continuity of treatment.

Job Requirements: Associate’s degree in Behavioral Health, Human Services, Psychology, Health
Sciences, Healthcare Administration, or related field preferred. High school diploma or equivalent
required. Relevant healthcare experience may be considered in lieu of a degree. Minimum of one (1) year
of experience in a healthcare setting preferred, such as patient access, admissions, ward clerk, health unit
coordinator, medical office, scheduling, or similar patient-facing role. Ability to manage high-volume phone
calls, gather referral information, and coordinate admissions while adapting to frequently changing
priorities based on patient acuity, staffing levels, and unit capacity. Ability to follow established admission
procedures and supervisory direction regarding unit capacity, patient safety considerations, and
operational priorities. Basic understanding of Substance Use Disorder (SUD) treatment preferred. Training
in ASAM Criteria and HarborCrest admission procedures will be provided. Experience with insurance
verification, prior authorizations, medical scheduling, or patient registration preferred. Basic knowledge of
medical terminology or ability to learn clinical documentation and referral information. Strong
communication and interpersonal skills with the ability to interact empathetically with patients, families,
and referral sources. Proficiency in Microsoft Office and experience with electronic health record (EHR)
systems preferred. Strong organizational skills, attention to detail, and the ability to manage multiple
competing tasks in a fast-paced clinical environment. Knowledge of community referral resources or
willingness to learn local treatment and recovery systems.
