Job Description

The Surgical Services Coordinator is responsible for managing and coordinating all clinical and surgical encounters for patients, including clinic appointments, referrals, authorizations, pre‑surgical requirements, and surgery scheduling. Serving as the primary administrative contact, this role ensures that patients’ needs are facilitated efficiently and accurately across the care team. The coordinator optimizes provider schedules through effective template management and collaborates closely with Medical Assistants to ensure patients are scheduled appropriately. This role works in partnership with Revenue Cycle Operations to obtain authorizations, provide co‑pay and co‑insurance notifications, and support collection processes. The Surgical Services Coordinator oversees all activities related to surgical scheduling—from pre‑operative orders through completion of the procedure—to prevent gaps that could impact surgical timing and to ensure an exceptional, safe patient experience.

QUALIFICATIONS: Required: High School Diploma or GED Work Experience and Additional Information • Minimum 1-2 years’ experience in a clinical setting. Technical Knowledge, Skills, and Abilities · Knowledge of clinic and surgical scheduling workflows, authorization requirements, and operating room block utilization. · Understanding of referrals, insurance processes, co‑pays, co‑insurance, and authorization procedures. · Ability to serve as the primary liaison for patients, providing clear instructions, updates, and empathetic support throughout the surgical process. · Ability to manage multiple schedules, orders, authorizations, and deadlines while maintaining accuracy and efficiency. · Skilled in using electronic health records (EHRs), scheduling systems, tracking tools, and standard office software to manage documentation and workflows. · Ability to identify scheduling conflicts, gaps in surgical planning, and barriers to timely completion of pre‑operative requirements and take appropriate corrective steps.
