Department: Middlesex Health ENT and Facial Plastic SurgeryHours: Full-Time & Part-Time PositionsSummaryThe Administrative Coordinator is accountable for coordinating general office duties and assisting with day-to-day front office operations of the practice. This includes overseeing the administrative duties of the reception area and ensuring that all policies and procedures are being followed by the reception team on a daily basis.ResponsibilitiesUnder general supervision or direction:Lead DutiesTrain new front desk staffUpdate and train all existing front desk staff as new policies and procedures presentStay up to date on all applicable clerical EPIC changes and communicate such to front desk staffMake weekly front desk work assignments by location and by taskAssign front desk staff to work the Epic referral and registration correction work queues and monitor work queue statusProvide oversight of reception waiting room area Serve as the resource to other Receptionists at the practice for immediate patient scheduling questions/issuesTroubleshoot all front desk computer issues, and serves as point person to assist with any Helpdesk requests for front desk mattersOrder front desk suppliesVerify accuracy of, and code incoming practice invoices as neededVerify, balance, and log daily bank depositsProvide backup to Practice Manager for Kronos/DimensionsProvide backup to Practice Manager for management of physician on-call schedule changesProvide backup to Practice Manager for provider Epic scheduling changesReceptionist DutiesGreets patients and responds to inquiries providing appropriate customer service Assists patient with practice/office-specific registration processes, to include kiosk/computer registration process if neededEnters patient demographic and/or insurance information into appropriate electronic medical record (EMR) system for tracking, billing or other purposesSchedules/reschedules patient appointments based on department/practice policy or guidelinesCollects and posts patient payments as requiredAnswers phones and responds to patient inquiries appropriately; addresses patients needs based on the scope of the position and clinical setting. Appropriately triages calls, referring to providers as necessary.Responds to inquiries from patient message inbox in timely mannerCompletes appropriate work items utilizing EMR system, to include patient follow-ups, pre-registrations, referrals, insurance authorizations, and other matters as needed Scans patient records into appropriate EMR systemProcesses faxes, incoming mail, and paperwork as requiredCompletes daily office close and reconciliation as neededUnderstands and utilizes EMR system consistent with role, abides by all federal laws and organizational privacy policies Performs administrative and other duties consistent with position and needs of officeMinimum QualificationsHigh School Graduate; basic math skillsPrevious physician practice front office experience Excellent communication and organizational skillsCustomer service focusedAbility to direct, mentor and lead othersFully trained, efficient and content expert in all reception duties and front desk policies and procedures.Preferred QualificationsEPIC experience Experience in a lead roleComprehensive Benefits OfferedCompetitive and affordable benefits packageShift DifferentialsContinuing Education assistanceTuition reimbursementStudent Loan relief through FiduciusQuick commute access from I-84, Route 9 and surrounding areas
