POSITION SPECIFICS Title: Patient Access – Lead (FT; 1.0 FTE) FTE: 1.0 (80 hours per pay period) Schedule: Monday to Friday, 8:00am to 4:30pm Holiday Rotation: None Weekend Rotation: None On Call Requirements: None POSITION SUMMARY The Patient Access – Lead, with guidance by the Patient Access Manager and Patient Access Supervisor(s), assists in providing training for the registration teams, recommending workflow changes to improve efficiency, and monitoring reports to ensure accuracy of various registration metrics. The Patient Access – Lead will perform all functions expected of registration staff (clinical and acute settings), in addition to performing advanced work to support registration staff. POSITION TECHNICAL RESPONSIBILITIES Works directly with the Patient Access Supervisor to provide standardized training and support across the organization on registration workflows in both the clinic and acute setting. Works with staff at locations across SPH to provide on-site training (requires travel, as needed). Prepares and develops training materials and/or presentations as needed. Regularly monitors new and current registration staff to ensure they are proficient with workflows and have access/understanding of applicable software systems. (e.g. external website applications, electronic medical record, internal applications, etc.). Works with organizational leadership to recommend additional needs for coaching and mentoring of registration staff. Provides reports and data to monitor productivity and registration best practice metrics. Completes root cause analysis on registration denials and develops workflows to mitigate denials. Ensures customer service standards are consistently and fully applied through all registration activities. Communicates any concerns with leadership, as it relates to their departments. Serves as a technical liaison for the electronic medical record registration functions, ensuring that all system changes are coordinated with workflow changes as appropriate. Perform registration responsibilities, as needed, across locations (clinical and acute settings) at the direction of Patient Access leadership. All other duties as assigned. General Lead Duties Serve as a mentor to others in department, function as a resource for staff on department policies and procedures. Participate in interviews, selection, orientation and training of new employees. Provide support to the leader related to performance management/evaluation, coaching/corrective action, and other personnel actions necessary to maintain operational efficiency, employee engagement, and regulatory compliance. Work with leader to achieve strategic plans, goals and objectives for the organization and department. Lead performance improvement teams to increase operational efficiency and performance. Foster a strong working relationship between medical staff, administration, and staff. Motivate and empower staff in the successful performance of their tasks and responsibilities to support the organizational needs and encourage innovation. POSITION REQUIREMENTS Education: Required: High school diploma or equivalent Preferred: Bachelor’s degree in business or healthcare related field desirable. Training/coursework in process and or quality improvement methodology and practices. Experience: Required: A minimum of two (2) years experience in healthcare registration, preferably within a clinic or acute environment Preferred: None Licenses and Registrations: Required: Valid Wisconsin Driver’s License (and reliable transportation) Preferred: None Certification(s): Required: Patient Access Specialist Certification within one year of employment for employee hired after 1/1/2020. This will be provided by employer.
