Job Description

Job SummaryPrimary point of contact for both new hire orientation and student programming within the health system. This position leads New Employee Orientation, ensuring a welcoming and comprehensive onboarding experience for all incoming staff. The Coordinator also oversees all aspects of the student program—including onboarding and orienting students, creating and managing clinical rotation slots across nursing floors and other disciplines, and serving as the primary liaison between academic partners and the health system. This role networks with clinical leadership to understand workforce and educational needs, manages affiliation agreements and school contracts in collaboration with the legal department and risk management, and facilitates shadow and clinical rotation requests by connecting requestors with appropriate discipline leadership. Responsibilities New Hire Orientation Leadership-Plans, designs, and continuously improves New Employee Orientation content, incorporating adult learning principles and a variety of instructional modalities.Distributes a weekly orientation logistics and roster email to all relevant stakeholders prior to each orientation session.Assigns and monitors required learning modules in HealthStream (LMS) for all new hires, ensuring timely completion in accordance with policy and regulatory requirements.Oversees scheduling, room reservations, guest speakers, and materials management for all orientation sessions.Evaluates orientation effectiveness through feedback mechanisms and adjusts programming to reflect current organizational policies, regulatory requirements, and best practices.Student Program Oversight-Onboards and orients incoming students, ensuring all organizational screening, compliance, and credentialing requirements are met prior to the start of each rotation.Develops and maintains current student orientation materials, policies, and guidelines.Creates, manages, and monitors clinical rotation slots on nursing floors and other clinical units.Communicates regularly with school program directors and clinical leadership to align student placement with unit capacity and organizational needs.Serves as the organizational liaison between the institution and the academic partner when concerns arise.Academic Partner & Liaison-Networks with clinical leadership across disciplines to understand current workforce needs and capacity for student and shadow experiences, adjusting the student program accordingly.Facilitates shadow requests by connecting requestors to appropriate discipline leadership to assess feasibility of shadow or clinical rotation opportunities.Partners with Human Resources and clinical leadership to leverage the student pipeline as a recruitment strategy, encouraging students to consider the health system as a future employer.Serves on advisory boards or participates in school-based committees to maintain academic relationships and help align curriculum with evidence-based practice and organizational needs.Partners with the Nurse Residency Coordinator and other Talent Management stakeholders to strengthen the continuum from student to new hire.Contracts & Affiliation Agreement Management-Initiates, reviews, and updates affiliation agreements and clinical education contracts in collaboration with risk management, the legal department, and organizational leadership.Serves as the primary organizational liaison to the legal department for all school and academic partner contracts, tracking status and ensuring timely renewals.Maintains a centralized, organized record system for all active and archived affiliation agreements.Communicates contract requirements and updates to relevant internal and external stakeholders in a timely manner.Professional Development-Maintains current knowledge of trends in talent management, new hire onboarding, academic partnerships, and healthcare education.Demonstrates ability to utilize available resources to establish and maintain best practices for student programming and new hire orientation.Knowledge, Skills & AbilitiesExcellent written and verbal communication skillsStrong organizational and project management skills with the ability to manage priorities independentlyProficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)Experience with HealthStream LMS required, or demonstrated ability to learn within 90 daysDemonstrated ability to build collaborative relationships with internal clinical leadership and external academic partnersKnowledge of adult learning principles and ability to apply them in orientation and educational program designAbility to exercise sound judgment, maintain confidentiality, and handle sensitive information with professionalism QualificationsEducationBachelor's degree in Education, Healthcare Administration, Nursing, or related field requiredMaster's degree preferredExperienceMinimum of 2 years experience in healthcare education, talent management, student program coordination, or a closely related field requiredExperience coordinating orientation programs or managing academic partnerships preferreLicensure/CertificationLicensed clinicians must hold a current license and/or certification required by their discipline.Clinical licensure is not required for non-clinical candidates.Compensation/Benefits$19.56-$31.94/hr depending on previous work experience.Benefits include medical, dental, vision,
