Job Description

We are seeking a highly organized and detail-oriented Department Assistant to provide administrative and clerical support to department leadership and staff. This position plays a key role in ensuring efficient daily operations through scheduling, report preparation, data management, communication coordination, and customer service support. The ideal candidate will thrive in a fast-paced environment, demonstrate excellent organizational skills, and possess strong computer and communication abilities. Key Responsibilities * Provide administrative and secretarial support to department leadership. * Assist with special projects and departmental initiatives. * Prepare correspondence, reports, presentations, and other documents. * Maintain departmental records, files, and databases. * Compile and distribute reports and departmental communications. * Schedule meetings, prepare agendas, record meeting minutes, and coordinate department events. * Collect and enter data into appropriate systems. * Order and maintain office supplies. * Provide backup receptionist coverage and assist customers by answering questions and directing inquiries. * Support departmental performance monitoring and goal achievement. * Collaborate effectively with team members across the organization. Education * High school diploma or equivalent required. * Coursework in business, office administration, or related field preferred. * Secretarial school training preferred. Experience * Previous office, administrative, or clerical experience preferred. * Experience using Microsoft Office applications, including: * Word * Excel * Access * Windows-based systems Skills & Abilities * Strong typing, filing, proofreading, and data entry skills. * Excellent organizational and time management abilities. * Ability to prioritize multiple tasks and meet deadlines. * Strong verbal and written communication skills. * Ability to learn and utilize healthcare information systems and software. * Professional demeanor and commitment to customer service. Physical Requirements * Occasional standing, walking, bending, crouching, pushing/pulling, and lifting up to 30 pounds. * Continuous concentration, attention to detail, and communication responsibilities. * Primarily office-based work environment.
